This policy explains how Prosys Technologies handles personal and operational information when you use PumpBook.

1. Information collected

We may collect account details such as name, email address, mobile number and Google account identifier; station and staff information; daily settlement, stock, expense and credit-account records; uploaded bill images; and security information such as login time, result and IP address.

2. How information is used

Information is used to create and secure accounts, provide PumpBook features, calculate and retain station records, generate reports, support customers, prevent misuse, monitor service reliability and meet applicable legal obligations.

3. Service providers

We may use infrastructure, authentication and processing providers to operate PumpBook. Google processes Google sign-in. When bill-reading is enabled, uploaded bill content may be sent to the configured AI processing provider. Providers receive only the information needed to perform their service.

4. Sharing

We do not sell personal information. Information may be disclosed to authorised account users, service providers acting on our behalf, professional advisers, or authorities when required by law or necessary to protect rights and security.

5. Retention

Account, operational, audit and security records are retained while needed to provide the service, meet contractual or legal requirements, resolve disputes and protect the platform. Retention periods may differ by record type.

6. Security

We use access controls, encrypted connections, restricted production configuration and operational backups. No system is completely risk-free, so users must also protect their devices and credentials.

7. Your choices and requests

You may request access, correction or deletion of personal information, subject to identity verification and legal or operational retention requirements. Station dealers control user access and much of the operational data within their account.
